Studio Survey Feature Guide

This guide explains how to use the Studio Survey feature, covering:


Feature Activation

Preconditions

To activate the Studio Survey feature:

  1. Fitness Network must be on a paid plan (any plan other than Free).

  2. Client Feedback feature must already be activated.

Note: Fitness Networks on the Free plan cannot trial this feature unless their plan is upgraded.

Steps to Activate

  1. Open the Fitness Network page in AA:

  2. Switch to the Edit view:
    Edit Fitness Network

  3. Scroll to the bottom of the page to find the Feature Enabled section.

  4. Check the box for Studio Survey as shown below.

  5. Click the Update Fitness Network button.

Steps to Deactivate

  • Uncheck the Studio Survey checkbox and save your changes.

Note: Customers cannot activate or deactivate this feature themselves. Changes must be made by FitGrid staff.


Studio Admin Changes Overview

Once the feature is activated, Studio Admin (SA) users need to refresh their page to see the updates.

New UI Elements

  • A new menu item called Studio Survey will appear.

Studio Survey Main Page

Clicking Studio Survey reveals two tabs:

  1. Survey

    • Displays the primary question sent to clients.

    • Includes statistics:

      • Average feedback overall

      • Number of responses

    • Start Date (date the feature was activated).

    • Status: Currently, only “Active” is available.

    • Dynamic text showing how often the Studio Survey is sent to clients.

  2. Responses

  • A list of individual responses, sorted by the most recent date.

  • Clicking a response opens a modal with detailed client info:

    • Payment type used.

    • Fitness Network visit count.

    • List of responses.

Studio Survey Sending Logic

Key Points

  1. Integrated with Client Feedback:

    • Studio Survey is part of the Client Feedback feature.

    • It is activated for all locations, not specific ones.

  2. Frequency:

    • Sent at 2x the interval of Client Feedback (CF).
      Example: If CF frequency = 90 days, SS frequency = 180 days.

  3. Frequency Adjustments:

    • To change CF frequency:

      1. Navigate to the CF settings page.

      2. Locate the “Send survey every...” dropdown.

      3. Change the value.

    • Changes are saved automatically.

Survey Sending Workflow

  1. After a group class session ends, the system checks if:

    • It has been 90 days since the last CF email.

    • The Studio Survey feature is active and it has been 180 days since the last SS email.

  2. If both conditions are met, the system sends a combined CF + SS survey email.

Screens in the Combined Survey

  • Screen 1: Updated Client Feedback form design.

  • Screen 2: New Studio Survey form.

  • Screen 3: Error message if any response is below 7.

Note: The Google review logic will only include Instructor Feedback, not Studio Survey comments.
